A telephone answering service is a business that receives incoming calls for other companies or individuals.

At Your office & PA we take calls for businesses when they’re too busy or are unable to take the calls themselves. We then take messages on their behalf and relay these messages immediately by email, SMS, FAX or phone call so they can deal with their messages as soon as they’re free.

  • Sign up to our FREE 14 day trial – you can request our trial either online or by calling 0844 44 80 680.
  • Set Up Your Account – we’ll then be in touch to set up your customer account. We’ll take company information from you such as key personnel, web address, message types, your greeting etc, to enable us to accurately answer your calls. You’ll receive a user name and password for your company so you can log in to our secure website to update any of your details and to check for new messages online.
  • Assign A DDI For Your Account – we’ll then assign you your own DDI (inbound phone line). You’ll use this number to divert your phone lines to (landlines and mobiles) whenever you want us to answer your calls. Diverting your lines is simple, click here for instructions on how to do this.
  • Assign Your PA’s – each customer gets a small team of dedicated PA’s who will answer all their calls and take their messages. We’ll assign your team and then one of our PA’s will be in touch introduce themselves and check through your company information.
  • Choose When To Divert your Calls – your account will then be live and you can start using the service. You can choose full divert for all your numbers, or decide to divert to us when you’re unable to take calls or when your lines are engaged.   • We’ll Take Your Messages – when your calls are on divert and a caller phones your number, the caller will be diverted to your PA's. Our state of the art phone system will recognise that the caller is for your company.

    The call will then be routed to one of your PA’s who’ll have all your company information on a screen in front of them before they pick up the phone. The call will then be answered in your company name.
  • We’ll Accurately Take Your Message – during your account set up we’ll have worked out with you a number of different call types (specific person request, new customer, existing customer enquiry). When we answer the call we’ll identify which call type it is and then take the appropriate message details.
  • Getting Your Messages – once we’ve taken a message for you there are a number of ways you can retrieve this message
    • All messages are logged on our secure web based system. You can log in wherever you have internet access to retrieve your messages
    • All messages are sent by email. You can choose where message are sent and have messages sent to multiple email addresses
    • You can choose to receive a text notification
    • We can patch the call through to you
    • You can call in to speak to your PA to get your messages
    • We can call you to give you your messages
  • Day 12 Of Free Trial – we’ll be in touch to discuss how you’re getting on with the service. Our hope is that you’ll be really amazed at how quick and easy it was to set and you’ll have been really pleased with the service we’ve provided and you’ll want to continue to be a customer.

  • Choose The Right Package – using information our system will have automatically gathered during your free trial, we’ll be able to recommend the most suitable message taking package for your business. You can choose from Pay-As-You-Go or monthly call packages (just like mobile phone plans).

    It’s only at this stage we’ll take bank details from you to complete set up of your account.

Telephone Answering Call Packages

All customers can choose either our Pay-As-You-Go option or a monthly call plan. Full details of what’s included in each option are on our price information page. Below is an overview of each option.

Pay-As-You-Go

This works in the same way as a mobile phone Pay-As-you-Go service which you may be familiar with. You simply top up your account online or over the phone and this credits your account. Each time we send you a message (by email or SMS) your credit decreases.

The option can be a great idea for small or start up business with a low volume of calls. It’s also useful for businesses who want to use the service for a short period of time, perhaps to cover holidays or sickness.

The Pay-As-You-Go service doesn’t include all of the options which are part of the monthly call packages, such as patching calls and a dedicated PA.

Monthly Call Packages

Our monthly call packages are invoiced at the beginning of every month. Again, these work in a very similar way to a mobile phone bill. You’ll choose a monthly call package that best fits your business needs. Each package has a number of credits included in the price and then there are additional payments for calls over your inclusive allowance. Customers who choose a monthly call package also get the option to choose additional services such as call patching, outbound calls, diary management and other virtual PA services.

 


Virtual PA Services

Every client has their own dedicated PA as their main point of contact. Your PA will answer your calls (or they’ll be answered by one of your PA’s assistants if they’re on another call), know and greet your VIP callers and send your messages by email or text. In addition to this the following PA services are also available.

  • You can call in and speak to your PA to pick up your most recent messages
  • Your PA can make calls on your behalf, perhaps change an appointment time or notify a customer that you’re running late
  • Your PA can book hotels or flights for you
 
 

Outbound Services

Your PA can make outbound calls on your behalf...

  • Chase up outstanding invoices
  • Rearrange appointments
  • Check customer contact details

Virtual Reception

If you employ a receptionist to answer your calls and put them through to the correct extension, then you could save your company time and money by outsourcing this service.
